Ohio State University has developed and now refined a new program called "Reducing the Risk," which is designed to inventory, record, photograph, and store data on the many artistic, historic, and valuable items located on the campus.
Abstract
General categories for documentation were selected to correspond with those of the International Foundation for Art Research; they include fine arts; decorative arts; antiquities; ethnographic objects; and books, manuscripts, and miscellaneous. Included as part of the database is an accession number, a digitized photograph, and a description of the item that includes artist or author and the date of acquisition, along with detailed information on size and location. All of this information is available on the screen, as is a location map of that part of the campus or campus building where the object or piece is located. Other data in the file detail information about value, whether the item is alarmed, the custodian or contact person, and the data when last surveyed. An important part of the program includes the presentation of a copy of the database record to the person responsible for the object. A sample of the database is accessible on the World Wide Web at www.ps.ohio-state.edu, by clicking "Wexner," then "Reducing the Risk," and click on "demonstration."
